At Codrlabs Solutions Ltd. ("we," "our," or "us"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard personal information in connection with our professional services engagements and our website (codrlabs.com).

This policy applies to clients, prospective clients, and individuals who contact us through our website or directly in a professional services context. It is separate from the privacy policy governing our consumer applications (SpeakshApp and Maestronom), which is published at codrlabs.com/products.

1Information We Collect#

Information You Provide Directly

  • Contact and Inquiry Information: Name, email address, phone number (if you request a callback), company name, and the content of your message when you contact us through our website or by email.
  • Project and Engagement Information: Requirements, specifications, credentials, content, and other materials you provide to us in the course of a services engagement.
  • Financial Information: Billing details (name, address, and payment information) as required to process invoices. We do not store payment card data — payments are processed through third-party providers.
  • Communications: Records of written correspondence, including email, messaging, and any written approvals or instructions provided during an engagement.

Information We Automatically Collect

  • Website Data: IP address, browser type, device information, and pages visited when you access codrlabs.com. This data is collected to maintain website security and is not used for behavioural advertising.
  • Technical and Infrastructure Data: Where Codrlabs manages hosting or infrastructure on your behalf, we may collect logs and performance metrics related to those services.

2How We Use Your Information#

  • Service Delivery: To scope, plan, and deliver the professional services you have engaged us for, including managing project communications and documentation.
  • Invoicing and Payment: To generate and process invoices for services rendered.
  • Communication: To respond to your inquiries, provide project updates, and send notifications relevant to your engagement.
  • Documentation and Record-Keeping: To maintain accurate records of project scope, change orders, approvals, and communications for the duration of the engagement and as required for legal and financial purposes.
  • Legal Compliance: To comply with applicable laws, regulations, and our contractual obligations.
  • Service Improvement: To improve our processes and service quality based on aggregate, non-identifying insights.
  • Spam Prevention: Our website contact forms use Google reCAPTCHA v3 to prevent automated spam submissions.

3Information Sharing and Disclosure#

Third-Party Services We Use

  • Email Delivery: Inquiries submitted via our website contact forms are delivered to our team through a third-party email provider. Your name, email, and message content are included.
  • Google reCAPTCHA v3 (Website only): Used on contact forms to prevent spam. reCAPTCHA may collect IP address, browser and device information, and interaction data. Google Privacy Policy.
  • Hashnode (Website only): Our newsletter is managed by Hashnode. If you subscribe, your email address is shared with Hashnode for subscription management. Hashnode Privacy Policy.
  • Cloudflare: Our website is hosted on Cloudflare Workers. Cloudflare processes web traffic and may collect IP addresses and request metadata. Cloudflare Privacy Policy.
  • Cloud Infrastructure Providers (e.g., DigitalOcean): Where Codrlabs provisions hosting infrastructure on your behalf, your project data may be stored on these platforms in accordance with their terms and privacy policies.
  • Accounting and Invoicing Software: Client billing information may be stored in third-party accounting or invoicing tools used by Codrlabs.

We Do Not

  • Sell your personal information to third parties.
  • Share your project information or business data with third parties for advertising or marketing purposes.
  • Disclose confidential project information except as required by law or with your explicit consent.

4Data Storage and Security#

Client data is stored using a combination of cloud services and local systems. We take the following security measures:

  • All data transmitted between you and our systems is encrypted in transit.
  • We use enterprise-grade cloud infrastructure with appropriate access controls.
  • Access to client data within our organization is limited to personnel who need it to perform the Services.
  • Credentials and sensitive access information shared with us during an engagement are treated as confidential and are not retained beyond the period of active use.

Where Codrlabs manages cloud infrastructure on behalf of the Client, we apply security best practices appropriate to the project scope and promptly communicate any known security incidents that may affect the Client's data.

5Data Retention#

  • Engagement Records: We retain project documentation, correspondence, and related records for a minimum of 7 years after the conclusion of an engagement, as required for legal and financial compliance under Canadian law.
  • Credentials and Access Tokens: Credentials shared with us for project purposes are deleted or revoked promptly upon the conclusion of the engagement or upon the Client's request.
  • Newsletter Subscriptions: Email addresses are retained by our newsletter provider (Hashnode) until you unsubscribe.
  • Website Inquiries: Contact form submissions are retained for a reasonable period to manage follow-up communications.

6Your Rights#

You have the right to:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate personal information.
  • Deletion: Request deletion of personal information we hold about you, subject to our legal obligations to retain certain records.
  • Withdrawal of Consent: Withdraw consent for communications (such as newsletter subscriptions) at any time.

7Regional Privacy Rights#

Canadian Residents
